What do I need to do about...?

It is the responsibility of the driver to ensure that their lease car is regularly serviced as per the manufacture's service requirements. You should book the car into an appropriate dealer, informing them of the Lease Company, in order that the costs for the repairs are invoiced to the Leasing Company.

Book the car in advance and request a courtesy car from the garage for use while the work is carried out.

Contact KwikFit for tyre repairs or replacements OR for Appleyard Vehicle Contracts (ING Car Lease UK Ltd) contact ATS. The Leasing Company will be invoiced direct.

You will need to: -

1. Inform them that the company is "Birmingham Primary Care Trust" and it is important to quote the Primary Care Trust you work for.

2. Quote the name of the insurance company which is "QBE Insurance (Europe) Ltd" and the Insurance policy number is "Please either call the fleet manager or Rob on 017811 195200" to the glass repairer.

They will carry out the required repair and invoice the Insurance Company direct with the cost of the repair, there is no excess to pay.

...And what if...?

You must contact the breakdown service. (See under the 'Contacts' tab). Call the service and wait for them to assist you. Birmingham Primary Care Shared Services Agency lease cars department is not responsible for contacting the breakdown service.

If the mechanic cannot repair your car he will arrange for it to be taken to a garage. You can request which garage the car is taken to which must be one specialising in your make of car. If the incident occurs out of garage hours then the breakdown service has to take the vehicle to a safe compound and deliver it to the requested garage as soon as possible.

The breakdown service, as part of their agreement, will supply a courtesy car for the first 24 hours of your car being off the road but only if the car was not made mobile after you have called them out. Please note that the Lease Car Company is not responsible for this service and does not supply relief vehicles.

The courtesy car supplied by the breakdown company must be returned after the free 24 hour period. The Trust has no contract with breakdown companies for the supply of vehicles after this period. During this period you should phone the Lease Car Department to organise a replacement Trust pool car while yours is being repaired. You will be advised where to collect the pool car from and where it will need to be returned. You will be responsible for collecting the car from there and returning it when your car is repaired. If it is necessary to hire a car, this car will only be hired until your car is repaired or a Trust pool car becomes available. You will not have the option of keeping this car instead of a Trust pool car as it incurs unnecessary expenditure for the Trust.

Should your car break down and the free 24 hour replacement car from the AA/RAC does not get you through the weekend then you should take the following steps.

1. Phone the Body and Accident repairers (detailed overleaf), who will advise you on the availability of a pool car;

PLEASE NOTE: You will have to arrange the collection and return of the Pool car from the supplier as the cost of delivering the car is not included in the contract/cost:

2. If there are no pool cars available, please phone the on-call Senior Manager who will discuss the need to hire a car for you until the morning of the next working day;

3. On the next working day you should then phone the lease cars department who will advise you if a Trust pool car is available.

...And what if...?

1) Under no circumstances admit liability for the accident.

2) Exchange the following details with the third party:

  • Insurance company and policy details
  • Model, car and Registration number
  • Driver's name and address.

3) Call the police if someone is injured or if the third party is being difficult. If you are requested by the police to produce documents, you can obtain a copy of the insurance policy from the Fleet Manager.

4) When the car is not driveable call the Breakdown service and request that the car be transported to, Holliers, Telephone No. 0121 472 3848 or 07811 195200. They are on call 24 hours a day and a courtesy car will be provided.

5) If the car is driveable, telephone Holliers, Telephone 0121 472 3848. They will make arrangements with you to get the car repaired. A Courtesy car will be provided immediately and they are on call 24 hours.

6) Under no circumstances should you make alternative arrangements with regard to the accident repairs unless it has been authorised previously by the Fleet Manager.

7) An insurance claim form will need to be completed by the driver. Holliers will ask you to complete this at the garage. If for any reason you do not do this at the time please contact the lease cars department at Waterlinks House immediately and further advice and arrangements will be given.

8) If you receive any correspondence from the third party send it to the lease cars department immediately. It will be forwarded on to the insurance company to handle.

Insurance

All Lease cars are insured on a fully comprehensive block fleet policy, which is renewed through NHS supplies annually.

If you are required to produce an insurance certificate for any reason contact the Lease Car Dept, who will forward one to you immediately.

Trust employees are insured to drive a lease car, their spouses, partners and declared drivers. The lease cars department must be informed in writing of these and have on file a copy of their current Driving Licence.

The lease car insurance does NOT cover you to drive any other vehicle, except other lease cars or courtesy cars provided by the Breakdown service or a garage.

Personal Accident cover for Trust lease car drivers is limited to £2,500 under the Trusts fully comprehensive motor insurance policy. Staff wishing to have further accident cover should arrange this individually under an accident insurance policy ­­not a motor vehicle insurance policy. Staff are advised that they may already have such cover under endowment policies, mortgage protection policies and through pension schemes. If the accident is not your fault claims are made against the party involved.

In the event of a Trust lease car being involved in an accident caused by a vehicle whose driver is not insured then the insurers would pursue a claim through the Motor Insurers Bureau.

As third parties ALL passengers travelling in a Trust lease car are covered by the existing policy.

Staff should be aware that only Trust employees are insured to drive the car for business purposes and only on Trust business. Lease cars are NOT insured to be used for any other business purposes. Spouses/partners/other declared drivers are only insured for social and domestic purposes. This means that if your partner accompanies you on your rounds they are not insured to drive the vehicle as this is business use.

All staff should be aware that in order for the insurance to be valid then all drivers must have a full Driving Licence. Members of staff, or named drivers who lose their Licence must inform Lease car administration at Waterlinks House immediately.

A Green card, Insurance certificate and permission from the Lease Car Company must be taken with you when taking the lease car out of the country.

Obtain permission in writing from the Lease Car Company, refer to your driver's pack for information.

The Fleet Manager will provide a certificate of insurance and a Green card, but only on receiving the following information in writing from the driver.
